How do I set up a booking confirmation?

Once a reservation is completed through the 123Booking system, the guest will automatically receive a confirmation of this. You can manage the text of this confirmation under ‘settings’ > ’email’ > ‘booking confirmation’ (see Figure 1). Then click on the edit icon (pencil) and read through the explanation below.

Type
Booking: you send the booking confirmation as an e-mail (default)
Formatting: you send an email without mentioning the booking details. This option is often used for booking requests where the booking lines are not yet sent along.
Booking as PDF: you send an email with the booking as an attachment. Click here for instructions on how to use this.

Internal title
This title is visible to the administrator, not to the recipient.

Subject
Enter the subject of the email here (for example: Thank you for your reservation)

Header
Page header that will be displayed at the top of the email

Attachments
You can add any attachments that are sent along by default, for example, directions.

Link rental object attachment
Under ‘management’ > ‘objects’ you can add an attachment per rental product under the ‘attachments’ tab. This information is sent at product level.

Text editor
The booking confirmation template has two text fields. The text in the first field is placed above the booking lines and the second field below (see Figure 3 as an example).

At the top right of the text editor is a [tags] button listed. You can add these to the text.

Specify VAT:
Enable or disable VAT specification here.

Payment Rules:

Here you can choose from 5 different invoice settings where the lines “residual payment” and “outstanding amount” are listed varied:

  •  setting 1: without mentioning ‘residual payment’ and ‘outstanding amount’
  •  setting 2: only ‘outstanding amount’ is mentioned.
  •  setting 3: specifying ‘remaining payment’ and ‘outstanding amount’ (most frequently used)
  •  setting 4: only ‘outstanding balance’.
  •  setting 5: statement of outstanding amounts per item (on and residual payment)
